When a board has made the decision to send a homeowner to collections, it’s important to provide all the needed documents to avoid unnecessary delays in proceeding.
The following list includes documentation that should be forwarded to our office when sending a homeowner to our office for collections:
- A ledger that itemizes the current balance back to zero;
- Meeting minutes or a signed Resolution indicating that the board voted in executive session to send the specific account to collections;
- A copy of the payment plan offer letter and fine notices (if applicable), along with confirmation that the payment plan offer letter was sent by:
- Certified mail; AND
- 2 of the following 3 methods (or regular mail if no phone or email on file):
- Text
- Phone; and
- A copy of the association’s current, signed Collection Policy, if this has not already been provided to our office.
Additionally, the payment plan offer letter the association sends the homeowner must contain very specific information pursuant to Colorado law. More information about those requirements and other common collection pitfalls were addressed in a recent webinar you can view on our YouTube Channel called “Collection Pitfalls”.
